Why you can't edit some inventory fields (ERP lockdown)
When your company connects an ERP (the outside system that keeps your main inventory and vendor records), WashWerk treats that system as the official record for the data it owns. Those inventory and vendor fields can no longer be edited in WashWerk, and a tooltip reads Managed by your ERP. Edit there to change. This guide explains why and where to make the change instead.
Before you start
- Where: Store or corporate — the lock applies across the whole company wherever the fields appear.
- Permission: No special permission needed to read this. Setting up the ERP connection requires the Configure Erp Sync permission.
- You must have: An active ERP connection on your company. With no connection, nothing is locked.
Why the field is locked
WashWerk locks a field whenever your company has a working ERP connection — one that is active, paused, or showing an error — and the ERP owns that field. A connection that is still being set up does not lock anything. Locked fields appear greyed out, with a tooltip naming your ERP.
The lock also stops you from creating new items or vendors and from merging records, because those records have to start in the ERP, not in WashWerk. This keeps the two systems from disagreeing with each other.
How to change a locked value
- Open the record in your ERP and change the value there.
- Wait for the next sync, or ask someone with the Trigger sync Erp Sync permission to run a sync now. The updated value then flows into WashWerk and appears on the item.
Expected result
After the ERP syncs, the field shows the new value in WashWerk. Fields that WashWerk still owns (such as store-level reorder points the ERP does not manage) stay editable as normal.
Troubleshooting
- If you edited a locked field and got an error when saving: WashWerk won't accept changes to fields the ERP owns. Make the change in your ERP instead and let it sync.
- If a field is locked but you expected to be able to edit it: which fields the ERP owns is decided by the connection. Ask an admin with the Configure Erp Sync permission to confirm the setup in Manage your ERP syncs.
- If everything is locked and the connection is broken: a connection that is showing an error still locks fields. An admin should fix the connection error before edits can resume in either system.
